Validation is the way to ensure the most updated procedures, as compared to processes that are run in the company.

In every company, processes – the way we do things – are always improving and changing. Procedures document these processes. Therefore, periodically, organizations need to make sure that the procedures still accurately reflect the processes in practice. Do this by renewing or validating the procedure.

When the system shows a reminder to validate a procedure, the administrator can create a new revision of the procedure, and then send it for review, updating if necessary, and approval.

The validation screen shows all the procedures that need validation.

Changing the validation date

When a procedure is in draft mode, you can define the validation period for that procedure. By default, the validation period for a new procedure is 2 years. This is a common choice for many organizations.

  • In the validation screen, click the date next to a procedure. The Validation dialog box opens.
  • Click the date under [Valid to].
  • Set a new end date, and then click [Create document]. The date is updated.
