Roles and Privileges

There are three types of roles in Flow:

  • Viewer
  • Editor
  • Administrator

These are the privileges and abilities each user type has:

Viewer

  • View any document, except for these:
    • Drafts
    • Restricted documents
  • Print any document
  • Save documents with a Read / Write permission (except for procedures) to his or her computer
  • Approve documents in an approval workflow *

A viewer receives tasks to complete from time to time, such as:

  • Read and Sign documents
  • Take knowledge tests

All tasks appear in the Flow Dashboard, while notifications and reminders, are sent by email.

Editor

The Editor role has additional privileges, such as:

  • Editing documents
  • Approving company documents *
  • Publishing procedures and documents *
  • Tracking the progress of drafts to completion and publishing

Administrator

The administrator has the most privileges in Flow, including:

  • Initiating processes, such as:
    • Approval of company documents
    • Publishing procedures and documents
    • Tracking reading
    • Checking the effectivity of published documents, using knowledge tests

By default, any task from the administrator is sent to the relevant users’ email.
