Managing users and groups
The Flow User Management page helps you manage users and departments manually, or automatically (by synching with your organization’s Active Directory).
Managing users
In the top toolbar, click the [user icon] to get to the user settings.

On the [User Management] page, you can:
- Manage users – Create, edit, grant privileges, or lock user.
- Lock user – A locked user is hidden the users list, unless [Show Locked] button is pressed. Flow will always retain all users’ history for future reference. If you want to lock a user, or if a user has left the organization, and Flow is not synched to the organization’s AD, simply click [Lock user] next to the username, and then click [Lock] on the bottom of the page.
- Grant privileges – You can grant editing privileges to users in the following way: click [Edit] next to the username. In the [Edit User Details] page, under [User Role] select the [Editor] check box, and then click [Save] at the bottom of the page.
- Manage groups and departments – Create, edit and delete.
Managing Groups
Flow lets you create any type of group, in addition to organization departments.
To open the [Manage Groups] page, in the upper toolbar, click [Groups].

Types of Groups
Flow contains two types of groups:
- Regular – You can manually edit the list of group members.
- Dynamic – The list of group members is:
- Determined by criteria that you set
- Updated automatically.
Regular Groups
In a regular group, follow these steps to modify the members:
- In the [Groups] list, find the group to edit, and then click the [Group members] link on the right.
- On the [Group members] screen, add or remove users from the group, and then click [Save]. The group is updated.
Dynamic Groups
Create the following kinds of dynamic groups:
- By Department—The group is automatically updated when someone joins or leaves the department.
- All users—The group automatically includes all users, so you don’t have to maintain it manually. It updates automatically when someone joins or leaves the organization.
To change a Regular group into a Dynamic Group:
- In the [Groups] list, select a group and click [Edit]. The [Edit Group] dialog box opens.

- Under [Group type], select [Dynamic].
- Under [Dynamic], select the type of dynamic group:
- [Filter by Department]—Enter the department name in the box.
- [All Users]
- Click [Save]. The selected group is now dynamic.
If your Flow automatically syncs users, the members of the group are updated when there’s a change to the members of a department.
